How to choose a DMC in Portugal

A destination management company is the partner on the ground that turns your brief into a working programme: hotels, venues, transport, guides, technical support and the experiences in between. When the event is abroad, it is also the team that answers the phone at seven in the morning when a coach is late. Choosing it well is most of the work.
Portugal has many incoming agencies, from one-person operations to large groups. These are the points we would check if we were in your place, whether you are planning a meeting, an incentive or a congress.
1. A licence you can check
In Portugal, a travel agency must be registered in the RNAVT, the national register of travel and tourism agents kept by Turismo de Portugal. The registration number has to appear on the agency’s contracts, correspondence and website, so it takes a minute to confirm. A company that sells travel without it gives you no legal guarantee if something goes wrong.
Ask also who contracts and invoices. A brand is not always a company: the legal entity behind it is the one that signs and answers for the services.
2. Experience you can verify
Years in business matter less than what can be checked. Ask for the companies the agency has worked for, for programmes similar to yours and for written feedback from clients. References with names, dates and the type of event tell you more than a list of adjectives.
A DMC that has handled groups for decades also has something you cannot buy quickly: a network of suppliers who answer its calls, and the experience to know which palace says yes and which restaurant can seat two hundred guests on a Saturday in June.
3. A team that speaks your participants’ language
Your project manager should work in your language, and the guides and hostesses on the day should speak the language of your participants. Ask which languages the team covers in-house and which are subcontracted. It makes a visible difference at the airport desk, on the coach and at the gala dinner.
4. The whole country, not one city
Many groups start in Lisbon, but a good programme often travels: Sintra and the coast, Porto and the Douro valley, the Alentejo, the Algarve, Madeira or the Azores. A DMC that knows the whole country can combine regions in one itinerary without handing your group over to another agency halfway through. Ask where the agency has run programmes, not only where it has an office.
5. One project manager from start to finish
The person who writes the proposal should be the person who runs the operation. Each handover between sales and operations is a place where details get lost: a dietary request, a late arrival, a change of room list. Ask who will be your contact before, during and after the event, and whether that person will be on site.
6. A proposal that is fast and clear
The way a DMC answers a request shows how it will run the event. Look for a first answer within a day or two, a proposal that says clearly what is included and what is not, and prices that match the programme you asked for. Options are useful; a proposal you need a meeting to understand is not.
A short checklist
- RNAVT number, and the company that contracts and invoices.
- Named references for programmes like yours.
- Languages covered by the team itself.
- Regions where the agency has run programmes.
- One project manager, present on site.
- A clear proposal, sent quickly.
How Limits answers these points
